The front-desk questions, answered. The clinical ones, left to you.

Dental, physiotherapy, beauty or veterinary practices get the same questions every day: what it costs, when you're open, how to book. Noctiv drafts those replies from your own website and notes, and passes everything else to your team.

The e-mails a clinic gets.

Most arrive outside opening hours, from people comparing practices. A clear answer the next morning, rather than the next afternoon, is often what books the appointment.

Treatment prices

"How much is a first consultation?" Answered from your published prices, with what's included. A price that isn't in your knowledge base is never guessed.

Opening hours and location

Hours, holidays, parking, which entrance, whether there's step-free access. Written once in your notes, answered every time.

How to book

Noctiv doesn't book appointments or see your calendar. It sends people to your online booking page or phone number, exactly as your notes say.

Preparing for a visit

What to bring, how early to arrive, how long a session takes, your cancellation policy. The practical questions your reception answers by heart.

Payment and insurance

Which payment methods you accept, and what your notes say about insurers or receipts. Anything about a specific claim goes to you.

Anything about health

Symptoms, results, medication, "is this normal?": for these, keep mode 1 so every reply waits for a person. Urgent messages always come straight to you.

An example reply.

A new patient writes late in the evening. The draft uses only the practice's price list and notes, and waits for the team's approval in the morning.

Example practice and prices. In mode 1, which every account starts in, nothing is sent without a click.

Emma L. · new patient
Hello, I'd like to start physiotherapy for my knee. How much is the first appointment, how long is it, and can I come on a Saturday?
Noctiv · draft reply
Hello Emma, thank you for your message. The first appointment is a 60-minute assessment and treatment and costs €75. We're open on Saturdays from 9:00 to 13:00. What stays with you.

These are never answered automatically, whatever mode you choose.

  • Urgent messages, complaints and anything legal
  • Refund requests and requests for a discount
  • Questions your website and notes don't answer
  • Each arrives as a short summary with a link to reply yourself

Patient e-mails need care with data.

E-mails to a clinic can contain health information. Noctiv stores its data in the EU (Frankfurt, Germany), keeps e-mail text for 90 days by default (you can shorten this), never uses your e-mails to train AI, and deletes everything with one button. Notifications show only the sender's domain and a summary unless you switch on full text. You remain the controller for your patients' data and Noctiv processes it on your behalf under a data processing agreement; read data and GDPR and check it against your own rules before you connect a mailbox that receives medical records.

Many practices connect a general enquiries address (info@ or hello@) rather than a clinician's own mailbox. That keeps the routine questions with Noctiv and the clinical correspondence where it already is.

Your mailbox, as it is.

Works with any business mailbox — Gmail, Google Workspace, Hostinger, Zoho, any IMAP — not just Gmail. Connected in 2 minutes; no migration, no new helpdesk.

Replies go out from your own address and appear in your Sent folder. Outlook and Microsoft 365 are not supported yet.

  • $79 a month per business, plus VAT where applicable
  • One connected mailbox, unlimited conversations
  • 14 days free, no card to start
  • Every account starts in mode 1: nothing is sent without your click
  • Data stored in the EU; your e-mails are never used to train AI
